Substitute Staffing Specialist

American Academy (AA) is accepting applications for a Part-time Substitute Staffing Specialist (.75FTE) for the 2026-27 school year. The Substitute Staffing Specialist plays a vital role in ensuring consistent, high-quality classroom coverage by recruiting, training, scheduling, and supporting substitute teachers. The position is predominantly remote, with scheduled time in the buildings each week.  This position works closely with the School Leadership to ensure a smooth and positive experience for students, teachers, and substitutes.  This position reports to the Human Resources Director.

Responsibilities:

Adhere to the mission and philosophy of American Academy with enthusiasm, commitment, and integrity.

Maintain a strong pool of qualified substitute teachers through recruiting, interviewing, reference checks, and onboarding.

Train substitute teachers to ensure familiarity with American Academy’s mission, curriculum, expectations, and emergency procedures.

Coordinate and schedule substitute teachers to meet daily and long-term coverage needs.

Provide on-call support for substitute coverage, including emergency situations.

Ensure substitute teachers are welcomed, prepared, and supported throughout their assignments.

Collect and track feedback from teachers and substitutes to maintain high-quality performance.

Maintain accurate records of substitute schedules, time-off coverage, and assignments.

Verify substitute timecards and ensure pay rates are accurate.

Submit substitute time reports and coordinate with Human Resources and Payroll.

Communicate clearly and consistently with staff, substitutes, and administration.

Respond to staff and parent communication within 48 hours.

Demonstrate professionalism, initiative, and problem-solving in daily responsibilities.

Maintain positive relationships with colleagues, substitutes, and school leadership.

Adhere to the American Academy Employee Code of Conduct.

Requirements:

Strong organizational and time-management skills

Excellent communication and interpersonal skills

Ability to manage multiple priorities in a fast-paced environment

High level of professionalism and attention to detail

Available to answer emergency substitute requests from staff at all times of the day

Preferred Experience:

Experience in education, staffing, or scheduling

Familiarity with school operations or substitute management systems

Experience working with Human Resources and/or Payroll processes

Ability to analyze feedback and improve systems and processes
