Location: Remote Contract Type: Independent Contractor Reports To: Managing Consultant Pay: Based on Contracted Work Company: T M STAFFORD LLC dba RU INSTITUTE Job Summary: T M STAFFORD LLC dba RU INSTITUTE is seeking a highly organized and efficient Contract Project Virtual Assistant to provide administrative and operational support to a Managing Consultant. The ideal candidate will have experience in handling a wide range of administrative tasks in a remote setting and be able to work independently with minimal supervision. This role is contract-based, with compensation determined by the scope of work for each project. Key Responsibilities: • Administrative Support: Provide comprehensive administrative support to the Managing Consultant, including managing calendars, scheduling meetings, and coordinating appointments. • Communication Management: Handle email correspondence, draft and edit communications, and ensure timely responses to client and team inquiries. • Document Preparation: Assist in the preparation, formatting, and proofreading of documents, presentations, reports, and proposals. • Research: Conduct online research on various topics as requested, compiling information and presenting it in a clear and concise manner. • Task Coordination: Track and manage ongoing tasks, deadlines, and deliverables, ensuring that the Managing Consultant is kept up-to-date on progress. • Meeting Coordination: Arrange virtual meetings, prepare agendas, and take minutes during meetings as needed. • Data Entry and File Management: Maintain digital files, update records, and perform data entry tasks to ensure accurate and organized documentation. • Client Interaction: Assist in managing client relationships by scheduling calls, following up on action items, and providing general support during client engagements. Qualifications: • Education: High school diploma or equivalent required; an Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field is preferred. • Experience: • Minimum of 2 years of experience as a Virtual Assistant, Executive Assistant, or in a similar administrative role, preferably supporting senior management in a remote environment. • Experience working as an independent contractor is highly desirable. • Technical Skills: • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Gmail). • Familiarity with virtual meeting platforms such as Zoom, Microsoft Teams, or Google Meet. • Experience with project management tools (e.g., Asana, Trello) and CRM software is a plus. • Knowledge: • Strong understanding of administrative and office management procedures. • Basic knowledge of project coordination and client relationship management. • Soft Skills: • Excellent organizational and time management skills. • Strong verbal and written communication abilities. • High level of attention to detail and accuracy. • Ability to work independently and proactively manage tasks. • Flexibility and adaptability in a fast-paced, remote work environment. Compensation: • This is a contract position, and compensation will be based on the scope of work for each project.
