Data Entry Specialist – Aviation Operations & Passenger Information Management

Remote role Full-time Open position

Join arenaflex: Where Precision Meets Purpose in the Skies

The aviation industry operates on the backbone of accurate, timely, and meticulously organized information. From the moment a passenger books a ticket to the second an aircraft touches down at its destination, countless data points flow through interconnected systems that keep the world’s airlines running safely and efficiently. At arenaflex, we understand that behind every seamless flight experience lies a team of dedicated professionals committed to data integrity, operational excellence, and continuous improvement.

arenaflex is a forward-thinking organization operating within the aviation and travel sector, partnering with industry-leading carriers and hospitality brands to deliver exceptional service experiences. Our mission centers on connecting people, places, and possibilities through precision-driven operational support. We believe that great careers are built on great work—and the work our data entry professionals perform every single day forms the foundation of trust that millions of travelers place in the aviation ecosystem.

We are currently seeking a meticulous, dependable, and highly organized Data Entry Specialist – Aviation Operations & Passenger Information Management to join our growing team. If you take pride in accuracy, thrive in structured environments, and want to contribute to a global industry without ever leaving your workspace, this opportunity is designed for you.

About the Role

As a Data Entry Specialist at arenaflex, you will serve as a critical link in the operational chain that supports one of the world’s most dynamic industries. Your primary responsibility will be the accurate input, verification, and management of sensitive operational data spanning passenger records, flight schedules, crew assignments, aircraft maintenance logs, and internal reporting systems. The information you handle directly influences decision-making at every level of the organization, from frontline customer service representatives to senior management and external regulatory bodies.

This is not a role where “close enough” is acceptable. Aviation data demands perfection, and arenaflex demands the same from its team. In return, we offer a stable, supportive, and growth-oriented work environment where your contributions are recognized, your development is prioritized, and your work-life balance is respected.

Key Responsibilities

  • Perform accurate and efficient data entry tasks across multiple platforms, including but not limited to passenger information records, flight itinerary details, crew scheduling data, and aircraft maintenance documentation.
  • Verify, proofread, and cross-reference all entered data against source documents to ensure absolute accuracy, consistency, and completeness.
  • Identify, flag, and correct discrepancies in existing database records, escalating complex issues to appropriate team leads or departments as necessary.
  • Maintain strict confidentiality and uphold the highest standards of data security when handling sensitive passenger, employee, and operational information.
  • Collaborate proactively with team members, supervisors, and cross-functional departments to resolve data inconsistencies, clarify ambiguous entries, and streamline information flows.
  • Generate, format, and distribute routine and ad-hoc reports, summaries, and statistical analyses to support operational decision-making.
  • Maintain organized digital filing systems and ensure proper documentation, version control, and backup procedures are followed at all times.
  • Uphold arenaflex’s data entry standards, quality benchmarks, and best practices while suggesting improvements to workflows and processes.
  • Participate in regular training sessions to stay current on software updates, industry regulations, and internal procedural changes.
  • Support special projects, audits, and initiatives as assigned by management, contributing analytical and administrative support as needed.

Essential Qualifications

  • Education: A high school diploma or equivalent is required. An associate degree, vocational certification, or formal training in data entry, office administration, information management, or a related discipline is highly preferred.
  • Experience: A minimum of one to two years of proven experience in a data entry, administrative, records management, or similar role is required. Experience within the aviation, travel, hospitality, or transportation industry is a strong plus.
  • Technical Proficiency: Demonstrated expertise with data entry software, database management systems, and the full Microsoft Office Suite, particularly Excel (including formulas, sorting, and filtering), Word, and Outlook. Familiarity with cloud-based platforms such as Google Workspace is advantageous.
  • Typing Skills: A typing speed of at least 45–60 words per minute with exceptional accuracy is expected.
  • Attention to Detail: An unwavering commitment to precision and the ability to spot errors, inconsistencies, and anomalies in large volumes of data.

Preferred Qualifications & Nice-to-Haves

  • Prior experience working with airline reservation systems, GDS platforms, or aviation-specific databases.
  • Understanding of basic aviation terminology, flight operations, or industry regulations.
  • Exposure to data visualization tools, basic SQL queries, or reporting software such as Power BI or Tableau.
  • Bilingual or multilingual capabilities, particularly in languages commonly used in international travel.
  • Experience working in remote or distributed team environments.

Skills & Competencies for Success

Beyond technical qualifications, the ideal candidate will demonstrate a robust blend of soft skills and professional competencies that enable success in a fast-paced, detail-oriented environment:

  • Organizational Excellence: The ability to manage multiple tasks, prioritize effectively, and meet tight deadlines without sacrificing quality.
  • Communication: Clear, professional written and verbal communication skills, with the ability to document processes and collaborate across teams.
  • Integrity: A strong ethical compass and unwavering commitment to data confidentiality, particularly when handling personally identifiable information (PII) and sensitive operational data.
  • Adaptability: Comfort with learning new systems, processes, and technologies, and the flexibility to adjust to evolving business needs.
  • Independence & Teamwork: The self-discipline to work autonomously with minimal supervision, coupled with a collaborative spirit that strengthens team outcomes.
  • Problem-Solving: Strong analytical thinking and the initiative to identify root causes and propose effective solutions.
  • Time Management: Consistent ability to balance speed with accuracy, meeting productivity targets while maintaining zero-defect standards.

Regardless of the setup, you’ll be joining a connected, collaborative team that communicates openly, supports one another, and shares a genuine passion for the aviation industry. We embrace flexible scheduling where feasible, understand the importance of work-life integration, and actively promote wellness initiatives throughout the organization.

  • Comprehensive health, dental, and vision insurance options.

  • Travel-related perks, discounts, and privileges through our industry partnerships (specifics vary by role and location).
  • Professional development stipends and access to online learning platforms.
  • Employee assistance programs covering mental health, financial planning, and family support.
  • A modern, well-equipped workspace (or remote work stipend) and the technology you need to succeed.
