Dynamic Customer Service Representative – Office Operations & Administrative Support Specialist

Remote role Full-time Open position

Welcome to arenaflex – Where Service Excellence Meets Innovation

At arenaflex, we are more than a provider of essential residential plumbing, septic, and portable sanitation solutions. For over 15 years, we have built a reputation for reliability, rapid response, and a genuine commitment to the communities we serve in the Tulsa and Grand Lake regions. Our success is driven by a dedicated team that embraces a culture of continuous improvement, collaboration, and respect. As we expand our footprint, we are looking for a motivated Customer Service Representative who will become an integral part of our administrative engine, ensuring that every internal process runs smoothly and every external interaction reflects the arenaflex promise of excellence.

Why This Role Matters

The Customer Service Representative at arenaflex is the backbone of our daily office operations. You will be the first point of contact for internal teams, suppliers, and customers, translating complex requests into actionable tasks, maintaining meticulous records, and fostering an environment where efficiency and accuracy are the norm. Your contributions will directly impact the speed at which service teams reach customers, the accuracy of billing, and the overall satisfaction of our clients.

Key Responsibilities – Your Day‑to‑Day Impact

  • Organize the office environment and assist associates in streamlining procedures to maximize productivity.
  • Sort, prioritize, and distribute incoming communications—including emails, faxes, and physical mail—ensuring timely delivery to the appropriate departments.
  • Create, update, and audit records in arenaflex’s back‑office systems, guaranteeing data integrity and compliance with industry standards.
  • Schedule and coordinate meetings, appointments, and field service dispatches, balancing the needs of multiple stakeholders.
  • Monitor inventory levels of office supplies, place orders, and manage shortages to prevent workflow interruptions.
  • Troubleshoot office‑related equipment malfunctions, liaise with vendors, and resolve issues promptly.
  • Collaborate with other departments—such as Field Operations, Finance, and Human Resources—to ensure policies and procedures are consistently applied.
  • Maintain professional, trusting relationships with suppliers, customers, and colleagues, acting as an ambassador for arenaflex’s brand values.
  • Perform receptionist duties when required, including greeting visitors, handling phone inquiries, and managing the front‑desk calendar.

Essential Qualifications – What We Need From You

  • Proven experience in a back‑office, office assistant, or comparable administrative role, preferably within a service‑oriented industry.
  • Demonstrated ability to work with high‑detail, high‑discretion tasks, maintaining confidentiality and accuracy at all times.
  • Strong familiarity with back‑office computer systems; experience with arenaflex’s proprietary platforms is a plus.
  • Working knowledge of standard office equipment (printers, scanners, multi‑line phone systems) and the ability to troubleshoot basic issues.
  • Excellent organizational and time‑management skills, with a track record of meeting deadlines under pressure.
  • Analytical mindset and problem‑solving aptitude, enabling you to identify process inefficiencies and propose improvements.
  • Exceptional written and verbal communication abilities, ensuring clear and professional interaction with internal and external parties.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with accounting software such as arenaflex (formerly QuickBooks).
  • Valid driver’s license and reliable transportation to support occasional off‑site duties or vendor visits.

Preferred Skills & Attributes – What Sets You Apart

  • Experience in a customer‑facing role within the plumbing, septic, or sanitation sectors, providing insight into the unique challenges of field service coordination.
  • Familiarity with cloud‑based collaboration tools (e.g., Microsoft Teams, Slack) and the ability to adapt quickly to new software environments.
  • Demonstrated initiative in implementing process enhancements that lead to measurable efficiency gains.
  • Ability to remain calm and composed during high‑volume periods, such as seasonal peaks or emergency response situations.
  • Strong interpersonal skills that foster teamwork, mentorship, and a positive office atmosphere.

Core Competencies for Success

  • Attention to Detail: Precision in data entry, record keeping, and communication.
  • Customer‑Centric Mindset: Understanding the impact of administrative work on end‑user satisfaction.
  • Adaptability: Flexibility to shift priorities and embrace new technologies.
  • Integrity: Upholding confidentiality and ethical standards in all interactions.
  • Collaboration: Working seamlessly across departments to achieve shared goals.
