Job Summary

We're looking for an experienced Office Administrative Assistant to join our team, providing administrative support to various departments, managing front desk operations, and delivering exceptional customer service. As a key member of our administrative support team, you'll be responsible for ensuring the smooth operation of our office, managing multiple tasks efficiently, and providing support to our clients and staff.

Key Responsibilities

* Manage front desk operations, including greeting visitors, answering phone calls, and responding to emails and messages in a timely and professional manner.

  • Maintain organized filing systems for both physical and electronic documents, ensuring accurate and up-to-date records.
  • Assist in scheduling appointments and managing calendars for team members, ensuring seamless communication and coordination.
  • Utilize Google Suite to create documents, spreadsheets, and presentations as needed, leveraging your proficiency in Google Suite applications (Docs, Sheets, Slides).
  • Handle incoming and outgoing correspondence, including emails, packages, and mail, ensuring timely and efficient processing.
  • Support office management tasks such as ordering supplies, maintaining inventory, and managing office equipment.
  • Provide assistance with data entry and maintaining computerized records, ensuring accuracy and attention to detail.
  • Collaborate with team members on various projects to ensure timely completion of tasks, leveraging your strong organizational skills and ability to prioritize tasks effectively.

Essential Qualifications

* 2+ years of experience in an administrative support role, preferably in a fast-paced office environment.

  • Strong organizational skills with the ability to prioritize tasks effectively, manage multiple responsibilities simultaneously, and meet deadlines.
  • Proficient in front desk operations and customer service, with a friendly demeanor and excellent communication skills.
  • Familiarity with office procedures and practices, including file management and document organization.
  • Experience in data entry and maintaining computerized records, with a strong attention to detail and accuracy.
  • Proficiency in Google Suite applications (Docs, Sheets, Slides) and excellent computer literacy with the ability to learn new software quickly.
  • Strong time management skills, with the ability to work independently and as part of a team.

Preferred Qualifications

* Bilingual in Spanish (or other languages) is a plus, but not required.

  • Knowledge of phone systems for effective communication and customer service.
  • Experience in scheduling appointments and managing calendars for team members.
  • Familiarity with office management software and systems, including inventory management and supply ordering.
