Event Coordinator - Private and High Net worth Events

Location: West London

Work Structure: Hybrid, Mon - Thurs Office + UK wide Event travel

Contract: Full time, permanent

Salary: £35,000 - £45,000

Overview

An exciting opportunity for an ambitious Event Coordinator to join a high-performing private events team within a creative, design-led events company specialising in premium and luxury experiences.

The business is known for delivering visually impactful, technically complex events across unique venues, combining creative design, production expertise, and exceptional client service.

Working closely with Event Managers, Designers, and Operations teams, this role plays a key part in bringing high-end event concepts to life.

This position offers a clear development pathway into Event Management within 18-24 months, with exposure to all stages of event delivery; from initial planning through to live execution on-site.

Key Responsibilities

Event Planning & Coordination

  • Support Event Managers and senior team members with end-to-end event planning
  • Assist in interpreting client briefs into practical delivery plans
  • Coordinate logistics across multiple event elements to ensure seamless execution

Supplier & Production Coordination

  • Manage bookings and communications for furniture, décor, and key suppliers
  • Coordinate crew, staffing schedules, and on-site logistics
  • Support technical requirements including entertainment, production equipment, and installations
  • Assist in preparing detailed event documentation and schedules for internal teams

Operational Delivery

  • Attend and support live events on-site, often outside London
  • Work closely with production, design, and operations teams to deliver events to a high standard
  • Help ensure all elements are executed in line with client expectations and company quality benchmarks

Administration & Communication

  • Maintain accurate event documentation, schedules, and supplier records
  • Support internal communication across departments including design, sales, and operations
  • Assist with tracking event details, updates, and changes in a fast-paced environment

Development & Ownership

  • Take responsibility for specific event elements as experience grows
  • Gradually manage smaller projects or components independently
  • Contribute to continuous improvement of processes and delivery standards

Candidate Profile

  • 1-3+ years' experience in events or a related field
  • Highly organised with strong attention to detail
  • Proactive, hands-on approach with a willingness to learn
  • Strong communication skills and ability to work across multiple teams
  • Comfortable working under pressure and to tight deadlines
  • Flexible approach to working hours, including evenings and weekends during live events
  • Interest in high-end or design-led events is advantageous
  • Driving licence beneficial but not essential
