The Program Coordinator will serve on the Academic Operations team in Academic Affairs. The employee will work independently and in a team environment to assist with Academic Operations' processes and communications. This position will assist with the Textbook Program, facilitate nationwide location commencement and student recognition, special projects, and perform general administrative duties. This individual will also work in coordination with other staff on various projects to ensure deadlines are met for the department. The Program Coordinator will assist the Academic Operations team to ensure quality customer service to all College constitutes including faculty, adjunct faculty, staff and students.Essential Functions:
- Perform job duties in accordance with Columbia College's vision, mission and values, and contributes to the development of the Academic Operations Department.
- Practice superior customer service.
- Fulfill additional responsibilities as assigned.
- Display respect and civility to all constituencies in all communications.
- Successfully complete all Human Resources, Technology Services, and other departmental annual training as needed.
- Attend work timely and on a regular basis during the established hours of operation; work additional hours as business necessitates.
- Develop and maintain expertise in policies and procedures for staff and faculty queries.
- Develop and maintain expertise in Columbia College systems, including but not limited to: Colleague, WebFOCUS, SharePoint, OnBase, Salesforce, learning management and syllabus systems, and Self-Service.
- Facilitate process for all commencement related documentation to include rosters, programs, and scripts for all nationwide location and virtual commencements for CCG. This includes event planning and the annual planning process.
- Facilitate honor society memberships including, but not limited to: Sigma Beta Delta, Alpha Chi, Alpha Sigma Lambda, and assist with SALUTE. This includes invitation, registration process, induction ceremony, recording honor society memberships in Colleague among various other tasks.
- Enhance policies, processes and procedures of the Textbook Program in coordination with Textbook Program Specialist and Director of Academic Operations
- Be knowledgeable of course materials issues and trends including copyright laws, fair use, open access resources, multi-use e-Texts, and inclusive access.
- Maintain Standard Operating Procedure documentation for all position related tasks.
- Represent the department on college-wide committees, as needed
- Special projects assistance as required
- Ability to fluently read, write, and understand the English language.
- Proficiency with the following, but not limited to: active listening; speaking; writing; critical thinking; judgment and decision making; monitoring; reading comprehension; time management; coordination; and management of personnel resources.
- Proficiency for using a variety of computer and technology-related software and equipment, including Microsoft Office products and database systems.
- Proficiency in using web-based technologies, including database systems.
- Ability to work independently and in a team environment, with or without direct supervision.
- Excellent communication, interpersonal, customer service, and organizational skills.
- Strong attention to detail and exceptional computer skills are required.
- Bachelor's degree.
- Experience in higher education
- Educational background in business or related field.
