Job description: Headstart Hatching is seeking a diligent and dependable individual to join our team in our Office Administration area.POSITION PURPOSE
The Office Administration will serve as a pivotal member of our team, ensuring the smooth and efficient operation of our office. The primary responsibility will be to perform accurate and timely data entry tasks and general office administrative functions. Attention to detail, strong organizational skills are crucial for success in this role. The Office Admin carries out all directives in accordance with the Company’s policies and applicable laws. All Company information will be handled with complete confidentiality.ESSENTIAL DUTIES AND RESPONSABILITIES * Conduct and/or facilitate the provision of all mandatory employee training.
- Complete general administrative clerical work accurately and in a timely manner:
- FedEx Express preparation weekly on-site pick-up as needed. * Prepare shipping and export documents or samples.
- Assist hatchery manager with employee payroll information.
- Keep all employee-related documentation.
- Organize hatchery data and create reports to help evaluate hatchery performance.
- Order supplies per hatchery manager’s directive.
- Do inventory of both supplies and eggs
- Create invoices for hatchery bills.
- Organize all hatchery forms used by various departments.
- Assist other hatchery departments as needed.
- Help with any animal welfare monitoring to be compliant with customer needs.
- Follow all the company’s rules and regulations for biosecurity, animal welfare and safety.
- Ensure tasks are completed correctly and in a timely manner.
- Monitor company email regularly for directives, requests, or responses from HR and/or hatchery manager.
- Work successfully with hatchery team towards achieving the company’s goals.
- Maintain a safe and clean working environment.
- Complete various tasks assigned by hatchery manager.
- Responsibilities and tasks outlined in this document are not exhaustive and may change based on hatchery manager’s directive, as well as by the needs of the company.
- Proficiency in Excel
- Creating filters, taking averages, summing up a column
- Knowledge of basic mathematics and statistics
- Percentages are critical.
- Database entry and ability to balance numbers.
- Basic computer skills
- Effective communication skills
- Ability to use email as the primary source of communication.
- Previous administrative experience
- Associate accounting degree preferred.
- Core business hours: Monday -Friday
- Flexible hours, until hatch pull/poult service finishes.
- Motor Vehicle Register required.
- Valid driver’s license required.
