Job Description

Take on an integral role as a Virtual Appointment Coordinator in a dynamic beauty services environment. In this position, you’ll serve as the primary point of contact for clients seeking to schedule their beauty services, managing a sophisticated appointment system through both digital and voice communications. This opportunity allows you to work remotely while making a direct impact on business operations and customer satisfaction. You’ll be instrumental in maintaining the smooth flow of daily operations while ensuring each customer receives prompt, professional attention during the booking process.

Responsibilities

  • Manage incoming customer communications for appointment scheduling through both text and phone channels
  • Coordinate and optimize the daily appointment calendar to maximize efficiency
  • Provide exceptional customer service as the first point of contact for the business
  • Handle customer inquiries professionally and promptly
  • Maintain detailed and accurate scheduling records
  • Utilize business software systems to manage appointments effectively
  • Collaborate with on-site team to ensure smooth scheduling operations
  • Send appointment confirmations and reminders to clients
  • Monitor and manage schedule changes or cancellations
  • Maintain a professional and friendly demeanor in all customer interactions

Requirements

  • Excellent written and verbal English communication skills
  • Previous experience in customer service or appointment scheduling preferred
  • Proficiency with Windows-based operating systems and software applications
  • Available to work full-time during U.S. business hours (Kansas time zone)
  • Strong attention to detail and organizational capabilities
  • Reliable high-speed internet connection
  • Quiet, professional work environment
