Executive Assistant & Project Manager for Real Estate/Airbnb Company

WHO WE ARE Hello. We are a real estate development company that focuses on purchasing and developing real estate to turn into Airbnbs. We are looking to grow and need a project manager whose also an executive assistant to help us schedule our tasks and personal lives. MINIMUM JOB REQUIREMENTS We currently have 3 executives that you would need to assist weekly. You will need to help them manage scheduling and research in the company and their personal lives. Executive Assistant Job Requirements: -Collect and store our personal information and desires so that you can act upon our behalf. -Make and receive phone calls to US located entities during eastern time zone business hours (9am to 4pm Est). -Coordinate and schedule personal and business calendars, appointments, and travel for each executive -Track the schedule, help prepare, and submit filings and other corporate documents -Be able to follow up on emails or alert execs this needs your attentions. Project Manager Job Requirements: -Run our daily business standup for 30 minutes a day. Take notes and update ClickUp based on what we are discussing. -Daily check the tasks currently assigned to each team member and update the status of each of them. -Look at the workload of the personal lives of each executive and properly schedule their workload for the week. -Make sure each executive is properly allocated so that it will get done by the business need deadline -Be able to efficiently use AI and Automation with ClickUp to make it easier to manage GROWTH OPPURTUNITIES We are looking for someone that can help us with other administrative tasks across all our business functions. These tasks are optional, infrequent and/or seasonal. You don't have to have experience with them. But it would be nice to see you willing to learn and grow in them. These tasks could grow as the company grows and you grow with it: Social Media: Respond to comments and help run ads on our social media account Property Management: Leave Airbnb guest reviews. Send out and pay invoices. Real Estate Development: Help locate and analyze potential properties to purchase Bookkeeping: Help upload receipts and reconcile purchases on a monthly basis Data Entry: Miscellaneous digital forms and tasks WORKLOAD Weekly load: Our daily standup is around 30 minutes Monday to Friday. Then checking up on miscellaneous notifications from the executives throughout the week. Therefore we need at minimum 5 hours a week. But each week it can vary. Listening to Alerts 9am to 4pm Est: We would like someone whose able to see and respond to notifications, phone calls, and text messages quickly during eastern business hours. So you can be at your desk but we encourage you to run your business from your phone so you can be mobile and remote. CONTRACT -Looking for a contract where we pay you weekly 5 hours. We'll track your hours biweekly and if you work more than 10 hours over those 2 weeks then we'll pay for the additional hours. -We will be hiring next week.
