Position Overview

The Remote Procurement Data Entry Specialist plays a vital role in supporting arenaflex's procurement lifecycle. Working within established organizational and departmental policies and procedures, you will provide procurement process support to both internal customers and external suppliers. This is an entry-level position designed for individuals who are organized, analytical, and eager to learn the intricacies of purchasing operations in a dynamic corporate environment.

You will be responsible for processing purchase requisitions, managing vendor communications, maintaining accurate records, and ensuring compliance with budgetary and organizational guidelines. The position requires a high level of attention to detail, comfort with digital procurement tools, and the ability to balance multiple priorities in a fast-paced remote setting.

Key Responsibilities

Requisition and Order Management

  • Manage assigned requisitions efficiently and source materials or services from existing approved vendors whenever feasible to maximize cost-effectiveness and supplier reliability.
  • Process purchase orders requiring manual intervention, including standing orders, blanket orders, new vendor requests, and service contracts with precision and timeliness.
  • Administer purchase orders from initial request through completion, ensuring that each transaction is accurate, compliant, and delivered on schedule.
  • Review purchase requisitions for compliance with budget parameters and organizational policies, escalating concerns to management as appropriate.

Vendor Sourcing and Relationship Support

  • Identify and evaluate potential vendors for services or supplies based on availability, competitive pricing, and quality standards.
  • Assist in reviewing new vendor requests and determining their suitability for approval based on established criteria.
  • Foster effective communication and collaboration with management, internal staff, and external vendors to continuously improve department efficiency and service delivery.
  • Provide timely feedback and updates to stakeholders on the status of outstanding requisitions, ensuring transparency throughout the procurement cycle.

Systems, Documentation, and Compliance

  • Utilize automated materials management systems, including electronic data interchange (EDI) platforms and vendor portals, to streamline purchasing workflows.
  • Research products and services as needed using reference sources to support informed purchasing decisions.
  • Maintain accurate and comprehensive documentation of sourcing decisions, with careful attention to price, quality considerations, and delivery timelines.
  • Ensure strict confidentiality of sensitive information related to staff, operations, and the broader organization at all times.

Essential Qualifications

  • Bachelor's degree required (all majors considered; degrees in Business Administration, Supply Chain Management, Finance, or related fields are particularly well-suited).
  • Entry-level position; zero to minimal years of professional experience required.
  • Proficiency in Microsoft Outlook and standard office productivity tools.
  • Strong data entry skills with a demonstrated commitment to accuracy and attention to detail.
  • Familiarity with or willingness to learn procurement systems, including PeopleSoft and similar enterprise resource planning platforms.
  • Excellent written and verbal communication skills.
  • Ability to work independently in a remote environment while maintaining strong collaboration with team members and supervisors.

Preferred Skills and Competencies

  • Foundational understanding of supply chain operations and purchasing fundamentals.
  • Experience with purchase order processing or vendor management (academic projects, internships, or volunteer work accepted).
  • Strong analytical and problem-solving capabilities.
  • Comfort navigating multiple digital systems and databases simultaneously.
  • Organizational skills with the ability to prioritize competing deadlines effectively.
  • A proactive mindset with a willingness to ask questions and continuously improve processes.
