Position Overview

We are looking for a Remote Data Entry Specialist to join arenaflex on a contract-to-hire or full-time remote basis. In this role, you will be responsible for transferring, updating, verifying, and organizing large volumes of information across our digital database systems. You will work under the guidance of a Data Manager and collaborate with senior data team members to ensure that all records are accurate, complete, and easily retrievable. The ideal candidate is a fast and accurate typist, deeply familiar with touch-typing methodologies, and possesses a keen eye for detail that catches errors before they become problems. Above all, you must understand and uphold the strict principles of data confidentiality that govern every action you take at arenaflex.

Key Responsibilities

  • Data Transfer and Digitization: Accurately transfer data from paper formats, handwritten notes, PDFs, and other source materials into computer files and centralized database systems using keyboards, data recorders, or optical scanners.
  • Direct Data Input: Type in data provided directly by customers, internal stakeholders, and partner organizations, ensuring real-time accuracy and proper categorization.
  • Spreadsheet Creation and Management: Build and maintain spreadsheets containing large volumes of figures, formulas, and references without errors, using tools such as Microsoft Excel and Google Sheets.
  • Data Verification: Cross-check entered data against original source documents to ensure consistency, correctness, and completeness. Flag discrepancies and escalate them to the data manager promptly.
  • Database Updates: Retrieve, edit, and update existing records within the database to reflect the most current information available.
  • Data Retrieval: Respond to internal and external requests for specific data sets by pulling accurate information from the database or electronic file storage in a timely manner.
  • Backup and Data Preservation: Perform scheduled and ad-hoc backups to safeguard against data loss, and follow arenaflex protocols for data preservation and disaster recovery.
  • Document Organization: Sort, label, and organize physical and digital paperwork after entry to ensure records are never lost, misfiled, or duplicated.
  • Confidentiality Compliance: Adhere strictly to all data confidentiality policies, including GDPR, HIPAA (where applicable), and arenaflex internal security standards.
  • Reporting: Provide daily, weekly, and monthly summaries of data entry progress, error rates, and task completion to the data manager.

Essential Qualifications

  • Proven Experience: Demonstrated experience working as a data entry clerk, data specialist, or in a similar information-handling role.
  • Fast Typing Skills: A typing speed of at least 60 words per minute with a high degree of accuracy. Formal knowledge of the touch typing system is strongly preferred.
  • Software Proficiency: Excellent working knowledge of word processing tools (MS Office Word, Google Docs) and spreadsheet applications (MS Excel, Google Sheets), including formulas, formatting, and basic data analysis functions.
  • Technical Familiarity: Working knowledge of standard office equipment, computer hardware, and peripheral devices such as printers, scanners, and external storage drives.
  • Database Understanding: Basic understanding of database structures, data entry best practices, and electronic file management systems.
  • Communication Skills: Good command of the English language, both written and oral, with the ability to communicate professionally with team members and customers.
