Key Responsibilities

Customer Service Excellence

Sales & Booking Coordination

  • Proactively recommend destinations, tours, and experiences based on client profiles, leveraging arenaflex’s extensive supplier network.

  • Process payments securely, issue invoices, and track financial transactions to guarantee timely revenue recognition.

Research & Knowledge Management

  • Stay current on global travel trends, visa and entry requirements, health advisories, weather patterns, and local regulations for key destinations.
  • Curate and maintain an internal knowledge base that empowers the entire arenaflex team to provide up‑to‑date recommendations.
  • Collaborate with the content and marketing teams to translate research insights into compelling client communications.

Documentation & Compliance

  • Guide clients through the preparation of essential travel documents, including visas, passports, travel insurance, and any special permits.
  • Verify that all documentation complies with international and local regulations, reducing the risk of travel interruptions.
  • Maintain meticulous records of client interactions, documentation, and compliance checks within the CRM for audit readiness.

Problem Solving & Crisis Management

  • Act as the primary point of contact for on‑trip emergencies such as flight delays, cancellations, or itinerary changes, coordinating with airlines, hotels, and local partners to minimize impact.
  • Develop contingency plans and communicate alternatives to clients in a clear, reassuring manner.
  • Document each incident, analyze root causes, and propose process improvements to prevent future occurrences.

Administrative & Operational Support

  • Maintain organized, up‑to‑date client files, booking logs, and payment records using arenaflex’s CRM and project management tools.
  • Generate regular reports on booking volumes, revenue trends, and client satisfaction metrics for senior leadership review.

Essential Qualifications

  • Experience: Minimum 2 years of experience in customer service, sales, or travel support roles. Prior exposure to travel booking platforms (e.g., Sabre, Amadeus, GDS) is highly advantageous.
  • Communication Skills: Exceptional verbal and written English proficiency. Additional language abilities (Spanish, French, Mandarin, etc.) are a strong plus.
