Key Responsibilities

Executive Support & Calendar Management

  • Maintain and synchronize executive calendars across multiple time zones, proactively identifying conflicts and proposing optimal meeting windows.
  • Coordinate and schedule internal and external meetings, including sending invitations, preparing detailed agendas, and capturing comprehensive minutes.
  • Arrange travel itineraries—flights, accommodations, ground transportation—ensuring cost‑effectiveness and adherence to corporate travel policies.

Communication & Correspondence

  • Monitor, triage, and respond to email correspondence, prioritizing urgent requests and drafting professional replies on behalf of executives.
  • Draft, edit, and format business communications such as newsletters, internal announcements, and social media posts.
  • Answer inbound calls using a cloud‑based telephone system, providing courteous and accurate information to callers.

Data Management & Entry

  • Enter, update, and verify data across CRM, project management, and other internal platforms, maintaining strict confidentiality and data integrity.
  • Develop and maintain organized filing systems—both digital and cloud‑based—to ensure quick retrieval of documents and records.
  • Generate regular reports and dashboards that summarize key metrics for executive review.

Project & Research Assistance

  • Conduct targeted research on industry trends, competitor activities, and emerging technologies, delivering concise summaries and actionable recommendations.
  • Support project managers by tracking milestones, updating task statuses, and flagging potential risks or delays.
  • Brainstorm innovative process improvements, contributing ideas that enhance productivity and reduce operational bottlenecks.

General Administrative Duties

  • Prepare polished presentations, spreadsheets, and documents using Microsoft Office Suite and other collaborative tools.
