Position Overview

We are seeking a detail‑oriented, self‑motivated individual to join arenaflex on a part‑time contractual basis as an Accounts Payable (AP) Data Entry Clerk. This role is perfect for candidates with a solid foundation in AP processes who thrive in a fast‑paced environment and enjoy turning raw data into actionable financial information. You will work closely with our senior accountants, procurement specialists, and vendor managers to ensure that all payable transactions are recorded accurately, processed on time, and reconciled in accordance with company policies and regulatory standards.

Key Responsibilities

  • Data Entry Excellence: Accurately input invoice details, purchase orders, and payment information into arenaflex’s ERP system, maintaining a high level of data integrity.
  • Invoice Processing: Review, code, and route invoices for approval, ensuring compliance with internal controls and vendor agreements.
  • Vendor Communication: Proactively communicate with vendors regarding invoice status, discrepancies, and payment timelines, providing timely updates to internal stakeholders.
  • Problem Resolution: Identify and investigate account issues, such as duplicate payments or mismatched purchase orders, and collaborate with the finance team to resolve them efficiently.
  • Special Projects: Support ad‑hoc initiatives, including month‑end close activities, audit preparation, and process‑improvement projects as assigned by management.
  • Documentation & Reporting: Generate and maintain accurate records of AP transactions, supporting internal reporting and external audit requirements.
  • Continuous Learning: Stay current with arenaflex’s evolving accounting policies, software updates, and industry best practices to enhance personal and team performance.

Essential Qualifications

  • Minimum 2 years of hands‑on Accounts Payable experience in a corporate or agency setting.
  • Proficiency with Microsoft Office Suite, especially Excel (pivot tables, VLOOKUP, data validation) and Word.
  • Demonstrated ability to perform high‑volume data entry with a focus on accuracy and speed.
  • Strong written and verbal communication skills, enabling clear interaction with vendors and internal teams.
  • Basic understanding of accounting principles, invoice lifecycle, and AP workflow.
  • Ability to work independently while adhering to established deadlines and service level agreements.

Preferred Qualifications & Skills

  • Experience with ERP or accounting software (e.g., SAP, Oracle NetSuite, QuickBooks) is a plus.
  • Knowledge of electronic payment methods (ACH, wire transfers) and vendor portal systems.
  • Familiarity with basic financial reporting and month‑end reconciliation tasks.
  • Strong organizational skills with a proven track record of managing multiple priorities simultaneously.
  • Detail‑oriented mindset with a commitment to maintaining confidentiality of financial data.
  • Ability to suggest process improvements that increase efficiency and reduce errors.

  • Mentorship from senior accountants who can guide you toward full‑time accounting roles or specialized finance tracks.
  • Opportunities to cross‑train with procurement, treasury, and reporting teams, broadening your financial acumen.
  • Eligibility for internal certifications and external courses (e.g., Certified Accounts Payable Professional) with partial or full reimbursement.
  • A clear career pathway that can lead to roles such as AP Analyst, Junior Accountant, or Finance Operations Coordinator.
