As a Customer Service Representative at arenaflex, you will be the trusted first point of contact for our members, dental providers, and employer groups. Your ability to listen attentively, communicate clearly, and resolve inquiries with empathy and accuracy will directly shape the customer experience and reinforce arenaflex's reputation for service excellence. Core Responsibilities
- Inbound Call Management: Answer a high volume of incoming phone calls each day, delivering accurate, timely, and friendly information regarding dental insurance benefits, eligibility, and claims status.
- Active Listening & Needs Assessment: Engage callers with empathy and professionalism, asking thoughtful questions to fully understand the nature of their needs, requests, or concerns — whether they are subscribers, dental office administrators, or benefits coordinators.
- Thorough Documentation: Accurately record all call details in our customer relationship management system, including contact information, the nature of the inquiry, the resolution provided, and any follow-up actions required.
- Issue Research & Resolution: Utilize multiple internal resources, policy references, and procedural guides to research and resolve complex inquiries, ensuring every caller receives a complete and confident follow-up response.
- Claims Processing Support: Assist with entering dental claims, requesting supporting documentation from customers, issuing refund requests, preparing quarterly statements, and managing outgoing correspondence related to member accounts.
- Consumer-Driven Health Plan Support: Respond to inquiries regarding pre-tax spending accounts, including Flexible Spending Accounts (FSA), Health Savings Accounts (HSA), Health Reimbursement Arrangements (HRA), as well as vision, COBRA, and related employee benefits.
- Professional Demeanor: Maintain a positive, tactful, and solution-oriented attitude throughout all interactions, even during challenging or escalated conversations.
- Performance Standards: Consistently meet or exceed customer service performance metrics, including call documentation quality, accuracy of information provided, response times, and customer satisfaction scores.

Essential Qualifications
- Education: High school diploma or equivalent required; some college coursework preferred.
- Experience: A minimum of two years of experience in a high-volume customer service setting, such as a call center, help desk, or member services environment.
- Communication Skills: Excellent written and verbal communication abilities with strong attention to detail and the capacity to explain complex information clearly.
- Adaptability: Ability to thrive in a structured, fast-paced call center environment while maintaining composure, accuracy, and a positive attitude.
- Technical Proficiency: Comfort using multiple technology platforms for communication, problem-solving, and information sharing, including Microsoft Office (Word, Excel, Outlook) and virtual collaboration tools such as Microsoft Teams and Zoom.
- Learning Agility: Willingness and ability to quickly adapt to new technologies, systems, and processes as they are introduced in the workplace.
- Regulatory Awareness: Ability to understand and apply Release of Information policies, HIPAA regulations, and other compliance standards relevant to dental insurance and protected health information.
- Location Requirement: Must reside in one of the following states: Kansas, Oklahoma, Missouri, Texas, Nebraska, Iowa, or South Dakota.
- Reliability: Regular and predictable attendance is essential, along with a strong commitment to meeting scheduled work hours.
Preferred Qualifications
- Previous experience in the healthcare, dental, insurance, benefits claims, or consumer-driven health plan industry.
- Familiarity with dental insurance terminology, claims adjudication processes, or benefits administration.
- Bilingual capabilities are a plus.

This particular role is a remote position, allowing you to work from the comfort of your home while remaining fully connected to your team through virtual collaboration tools. Training hours are 8:00 AM to 5:00 PM, Monday through Friday. After successful completion of training, regular work hours shift to 9:00 AM to 6:00 PM Monday through Thursday, and 8:00 AM to 5:00 PM on Fridays.
