Position Overview
As a Customer Care Specialist at arenaflex, you are the face and voice of our organization. You directly impact the service experience of our members by handling inbound inquiries, resolving issues, and providing guidance through phone, web chat, and written correspondence. Member inquiries can range from straightforward to complex, requiring empathy, critical thinking, and a deep understanding of healthcare plans, benefits, tools, and resources.
This role is part of our 24/7 inbound customer support operation, with shifts that include nights, weekends, and holidays. Candidates must have the flexibility to work any shift based on business needs. The position is fully remote, allowing you to work from the comfort of your home in California while enjoying a competitive hourly rate of $30–$41/hour, depending on experience and qualifications.
Key Responsibilities
- Member Inquiry Resolution: Respond promptly and professionally to questions and concerns raised via phone, written correspondence, or digital channels from members, healthcare providers, and plan sponsors.
- Issue Escalation: Identify and escalate urgent or complex situations to appropriate departments while ensuring thorough documentation and follow-up.
- Plan Navigation: Guide members through their healthcare plan benefits, arenaflex policies, and procedures, ensuring compliance with all regulatory guidelines.
- Relationship Building: Establish genuine, trusting connections with members by actively listening to their needs, advocating for their best health, and providing compassionate support.
- Proactive Communication: Anticipate member needs and provide relevant information about plan details, self-service tools, and additional resources to address unasked questions.
- Problem Solving: Utilize customer service capacity systems to make sound financial decisions that resolve member issues efficiently.
- Contract Explanation: Clearly communicate member limitations and coverage details in accordance with contractual agreements.
- Claims and Referrals: Process claim referrals, new case handoffs, nurse reviews, complaints, and appeals through the appropriate systems.
- Provider Support: Educate healthcare providers on self-service options and assist with credentialing and re-credentialing inquiries.
- Legal and Audit Requests: Respond to requests from arenaflex's Legal Records Center regarding litigation, claims, and extensive document reviews.
- Reporting and Analysis: Assist in preparing complaint trend reports and consolidating claims data for customer audits.
- Clinical Determinations: Assess medical needs, verify relevant coverage policies, and confirm member plan eligibility for incoming correspondence and internal referrals.
- Pre-Authorization: Handle incoming requests for inquiries and pre-approvals not managed by Clinical Case Management.
- Benefits Verification: Review member claim histories to ensure accurate tracking of benefit maximums, coinsurance, and deductibles.
- Financial Reconciliation: Perform financial data reconciliation as needed to maintain accurate records.
- Documentation: Use relevant system tools and resources to generate high-quality letters, spreadsheets, and responses to member inquiries.
Essential Qualifications
- Education: Bachelor's degree required.
- Customer Service Experience: Previous experience in a transaction-based environment such as a call center or retail setting is preferred, demonstrating empathy and compassion.
- Multitasking Ability: Proven capacity to manage multiple tasks efficiently while maintaining quality and accuracy.
- Medical Terminology: Working knowledge of clinical and medical terminology.
- Communication Skills: Excellent verbal and written communication abilities.
- Technical Proficiency: Skilled in Microsoft Word, Outlook, and other standard office software.
- Attention to Detail: Strong focus on accuracy and adherence to production standards.
