Key Responsibilities

  • Mail & Correspondence Management: Sort, scan, and distribute incoming and outgoing mail, packages, and internal communications across the arenaflex corporate campus and satellite locations.
  • Postage & Mail Account Oversight: Maintain postage accounts, track mailing expenses, and ensure timely dispatch of all outbound correspondence.
  • Office Supplies & Common Area Upkeep: Monitor inventory levels, reorder supplies as needed, and keep shared spaces clean, organized, and welcoming.
  • IT Meeting Coordination: Set up virtual and physical meeting rooms for the IT department, arrange necessary equipment, and dismantle setups after meetings conclude.
  • ID Badge Administration: Create, replace, and deactivate employee and visitor badges for the IT team, ensuring compliance with security protocols.
  • Reception Desk Support: Answer inbound calls, direct visitors, issue temporary badges, and provide courteous assistance to all internal and external contacts.
  • Data Entry & Documentation: Accurately input data into company systems, maintain records, and generate reports as requested by supervisors.
  • Policy & Privacy Compliance: Adhere to arenaflex privacy and security policies, especially when handling confidential or sensitive information.
  • Continuous Improvement: Identify opportunities to streamline processes, suggest enhancements to mail handling, and contribute ideas that improve overall office efficiency.

Essential Qualifications

  • Education: High School Diploma or GED required; equivalent combination of education and relevant experience will be considered.
  • Technical Proficiency: Strong command of the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfort with virtual collaboration tools (e.g., Teams, Zoom, Slack).
  • Typing & Data Entry Skills: Minimum typing speed of 55 WPM with a high degree of accuracy.
