Position Overview

As a Remote Data Entry Specialist at arenaflex, you will serve as a critical backbone of our travel operations team. You will be responsible for accurately inputting, updating, and managing travel-related data across a variety of systems that support bookings, reservations, client profiles, contracts, and internal reporting. Your work will directly impact the experience of travelers and the efficiency of our partner agencies, ensuring that every piece of information is captured correctly, organized logically, and accessible when needed.

Key Responsibilities

Data Management & Accuracy

  • Input, update, and maintain accurate travel-related information, including bookings, reservations, client profiles, itineraries, and supplier data, into company database systems.
  • Perform regular audits of data to ensure consistency, completeness, and compliance with internal standards.
  • Identify and correct discrepancies in records, taking ownership of resolving errors before they impact operations.
  • Maintain high standards of typing speed and accuracy while managing large volumes of information.

Record Organization & Documentation

  • Organize and maintain digital files related to travel bookings, vendor contracts, client communications, and internal documentation.
  • Develop logical filing structures and naming conventions that allow for easy retrieval of information across the team.
  • Archive historical records in accordance with company retention policies and regulatory requirements.

Collaboration & Communication

  • Work closely with the reservations, customer service, and operations teams to ensure smooth data exchange and consistent workflows.
  • Respond to internal inquiries related to data entry, record status, and information management in a timely and professional manner.
  • Serve as a reliable point of contact for team members who depend on accurate, up-to-date records to perform their roles.

Reporting & Analytics Support

  • Generate routine and ad-hoc reports on key performance metrics, booking trends, and data integrity measures.
  • Assist leadership with the preparation of dashboards, summaries, and visual presentations that inform decision-making.
  • Spot patterns and trends in data that may suggest opportunities for improvement or highlight emerging issues.

Process Improvement & Efficiency

  • Identify opportunities to streamline data entry workflows, eliminate redundancies, and improve turnaround times.
  • Propose and document new procedures, templates, or automation tools that enhance team productivity.
  • Stay informed about best practices in data management and share insights with colleagues.

Compliance & Confidentiality

  • Ensure strict adherence to data protection regulations, including the handling of personally identifiable information (PII) and payment-related data.
  • Follow arenaflex policies regarding data security, access controls, and confidentiality at all times.
  • Participate in compliance training and contribute to ongoing efforts to safeguard customer information.

Customer & Internal Support

  • Provide courteous and accurate assistance to internal stakeholders and occasional external customers regarding data-related inquiries.
  • Help troubleshoot data inconsistencies that may affect customer-facing communications or bookings.
  • Support a positive, service-oriented culture by ensuring information is always reliable and ready when needed.

Essential Qualifications

  • High school diploma or equivalent required.
  • Proven experience in data entry, administrative support, or a similar role, with a strong record of accuracy and reliability.
  • Excellent attention to detail, with the ability to spot errors, inconsistencies, and missing information quickly.
  • Proficiency in computer software and database systems, including advanced knowledge of the Microsoft Office suite (Excel, Word, Outlook).
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Comfortable working independently in a remote environment with minimal supervision.
  • Reliable high-speed internet connection and a dedicated, distraction-free workspace.
  • Must be based in the United States, with eligibility to work in the U.S.

Preferred Qualifications

  • Bachelor's degree in business administration, hospitality, information management, or a related field.
