Experienced Real Estate Data Entry Operator – Property Records & Database Management Specialist (Remote-Friendly)

Remote role Full-time Open position

About arenaflex and the Opportunity

arenaflex is a forward-thinking real estate management organization dedicated to transforming how properties are tracked, analyzed, and optimized across diverse portfolios. In an industry where precision, speed, and data integrity can make the difference between a missed opportunity and a closed deal, arenaflex has built its reputation on the backbone of accurate, well-maintained information. Our operations span residential, commercial, and mixed-use properties, and our commitment to operational excellence starts with the quality of our data.

As a Real Estate Data Entry Operator joining arenaflex, you will become an essential contributor to the team that keeps our property database running with flawless accuracy. Every lease record, square footage measurement, ownership detail, and tenant update you manage will ripple through the organization, informing decisions made by executives, property managers, and field staff. If you take pride in spotting the tiniest discrepancy, thrive in a structured environment where attention to detail is celebrated, and want to grow your career within the dynamic world of real estate, arenaflex offers the perfect platform to elevate your skills while enjoying genuine work-life balance.

What You Will Do – Key Responsibilities

At arenaflex, the Data Entry Operator role is far more than simply typing numbers into a spreadsheet. You will own critical processes that keep the entire property management operation informed, compliant, and agile. Your primary responsibilities will include:

  • Accurate Property Data Entry: Input and maintain comprehensive property information into the arenaflex database, including ownership records, lease terms, square footage, rental rates, occupancy status, maintenance logs, and tenant contact details.
  • Data Verification and Cleansing: Perform regular audits and validation routines to ensure the integrity, completeness, and consistency of all stored records. You will identify outdated or duplicated entries and take corrective action to keep the database pristine.
  • Discrepancy Resolution: Collaborate closely with property managers, leasing agents, and fellow data specialists to investigate and resolve data anomalies, missing fields, or conflicting records before they impact downstream operations.
  • Report Generation and Distribution: Prepare and deliver scheduled reports such as occupancy summaries, vacancy analyses, and tenant activity logs, as well as custom ad hoc reports requested by leadership to support strategic decision-making.
  • Data Migration and System Integration Support: Participate in projects that involve transferring data between legacy systems, integrating new platforms, or onboarding newly acquired properties into the arenaflex portfolio.
  • Compliance and Documentation: Maintain organized records of all data changes, ensuring audit trails are preserved and that sensitive information is handled in accordance with company policies and applicable regulations.
  • Process Improvement Contributions: Identify opportunities to streamline workflows, reduce manual effort, and improve data quality standards, sharing your insights with the team to elevate overall performance.

What You Bring – Essential Qualifications

arenaflex is looking for a candidate who combines proven data entry expertise with a strong sense of ownership and a meticulous mindset. The following qualifications are required:

  • Educational Foundation: A high school diploma or equivalent is required. Additional coursework in business administration, information management, or real estate is a welcome plus.
  • Relevant Experience: Demonstrated experience in data entry, administrative data management, or a similar role, ideally within a fast-paced office environment where accuracy and volume go hand in hand.
  • Technical Proficiency: Strong command of the Microsoft Office Suite, with particular emphasis on Excel for sorting, filtering, basic formulas, and formatting. Familiarity with database software or CRM platforms is highly valued.
  • Attention to Detail: A natural eye for spotting inconsistencies, typos, and missing information, combined with a disciplined approach to double-checking work before submission.
  • Organizational and Time Management Skills: The ability to juggle multiple data sets, prioritize tasks, and meet tight deadlines without sacrificing quality.
  • Communication Skills: Clear written and verbal communication to coordinate with team members, escalate issues, and document processes effectively.

How You Stand Out – Preferred Qualifications

While not strictly required, the following attributes will help you excel and accelerate your impact at arenaflex:

  • Real Estate Industry Familiarity: A basic understanding of real estate terminology, property classifications, and leasing concepts will help you ramp up quickly and add value from day one.
  • Problem-Solving Mindset: The curiosity and resourcefulness to investigate the root cause of data issues and propose practical solutions rather than just flagging problems.
  • Independent and Team-Oriented Work Style: Comfort working autonomously on assigned tasks while also collaborating effectively with cross-functional teams.
  • Adaptability to New Tools: Willingness to learn new software platforms, data management systems, and automation tools as arenaflex continues to modernize its technology stack.
  • Confidentiality Awareness: An understanding of the importance of handling sensitive property and tenant information with discretion and professionalism.

Skills and Competencies for Success

Beyond technical skills, the ideal candidate for this role at arenaflex will demonstrate a blend of soft skills and professional competencies, including:

  • Analytical Thinking: The capacity to interpret data, recognize patterns, and draw meaningful conclusions from property records and reports.
  • Reliability and Accountability: A consistent track record of meeting deadlines and owning the quality of your work without requiring constant supervision.
  • Tech Curiosity: An eagerness to explore new tools, shortcuts, and efficiencies that can improve personal and team productivity.
  • Customer-Centric Awareness: An understanding that the data you manage ultimately supports property managers, tenants, and business partners, and a commitment to serving their needs through accurate information.
  • Resilience Under Pressure: The ability to stay focused and productive during high-volume periods, such as month-end closings or major portfolio updates.

Career Growth and Learning Opportunities

At arenaflex, we believe that data is a career, not just a task. When you join our team, you gain access to structured training programs, mentorship from experienced property operations professionals, and a clear pathway for advancement. Many of our data specialists have grown into roles such as Database Administrator, Property Operations Analyst, or Real Estate Data Quality Lead.
