Remote role Full-time Open position

About arenaflex – Pioneering Compassionate Non‑Emergency Medical Transportation

arenaflex is a leading provider of non‑emergency medical transportation, dedicated to delivering safe, reliable, and dignified travel experiences for patients who need a ride to appointments, therapies, and other health‑related destinations. Our mission is rooted in empathy, innovation, and a commitment to community health. As a remote‑first organization, arenaflex empowers its team members to work from anywhere while staying connected to a purpose‑driven culture that values flexibility, collaboration, and continuous growth.

Why This Role Matters

The Trip Assignment Specialist is the heartbeat of our nightly operations. Every evening, thousands of members rely on arenaflex to coordinate transportation that meets their unique needs—whether it’s language preference, accessibility requirements, or timing constraints. By assigning trips to dispatchers and arenaflex Care Partners, you ensure that each rider receives a seamless, on‑time experience that reflects our standards of care.

Role Overview

Working the night shift (11:30 pm – 8:00 am PT, Monday through Friday), you will operate remotely from your home office, leveraging arenaflex’s advanced dispatch platform to manage a high volume of trip assignments. In addition to dispatch duties, you will field inbound calls, resolve Level 1 support tickets, and assist with administrative tasks that keep our transportation ecosystem running smoothly.

Key Responsibilities

  • High‑Volume Trip Assignment: Accurately assign 700–900 trips each night in the Health‑E Rides system, ensuring each request is matched with the most suitable dispatcher.
  • Eligibility Matching: Review member language preferences and other criteria to determine which dispatchers are qualified for each trip, promoting culturally competent service.
  • Stacking & Contract Management: Efficiently stack trips to contracted arenaflex Care Partners, optimizing route efficiency and partner utilization.
  • Member Support: Answer inbound calls from members during evening hours, providing courteous assistance, trip updates, and problem resolution.
  • Real‑Time Coordination: Monitor incoming trip requests, adjust assignments on the fly, and communicate changes to dispatchers and partners.
  • Administrative Assistance: Process payments for arenaflex Care Partners, maintain accurate records, and support financial reconciliation.
  • Ticket Resolution: Manage Level 1 administrative tickets in Zendesk, escalating complex issues when necessary and ensuring timely closure.
  • Data Integrity: Keep the dispatch database up‑to‑date, documenting trip outcomes, driver feedback, and any anomalies for continuous improvement.
  • Collaboration: Work closely with the operations, compliance, and technology teams to refine workflows and enhance system functionality.

Essential Qualifications

  • Minimum of 2 years experience in dispatching, transportation coordination, or a related logistics role.
  • Demonstrated ability to manage high‑volume workloads with precision and attention to detail.
  • Strong written and verbal communication skills; ability to convey information clearly under pressure.
  • Reliable internet connection, a quiet home office environment, and the ability to work night shifts consistently.
  • Basic proficiency with ticketing platforms (e.g., Zendesk) and familiarity with transportation management software.
  • Commitment to delivering compassionate service to members, especially those with health‑related needs.

Preferred Qualifications

  • Experience in the healthcare or medical transportation sector.
  • Knowledge of HIPAA regulations and best practices for handling sensitive health information.
  • Multilingual abilities, particularly in Spanish, Mandarin, or other languages commonly spoken by arenaflex members.
  • Previous remote work experience with a proven track record of self‑motivation and time‑management.
  • Certification in logistics, supply chain management, or a related field.

Core Skills & Competencies

  • Analytical Thinking: Ability to assess trip data, identify patterns, and make data‑driven assignment decisions.
  • Problem Solving: Quick resolution of unexpected issues, such as driver shortages or last‑minute member requests.
  • Customer Service Excellence: Empathetic listening, patience, and a service‑first mindset.
  • Technology Savvy: Comfort navigating web‑based platforms, spreadsheets, and communication tools.
  • Team Collaboration: Strong interpersonal skills to work effectively with dispatchers, partners, and internal stakeholders.
  • Organizational Discipline: Ability to prioritize tasks, meet deadlines, and maintain accurate records.
