About the Role: Remote Medical Records Data Entry Specialist

As a Medical Records Data Entry Specialist at arenaflex, you will serve as a critical administrative support partner to our field care teams. Your primary responsibility will be ensuring the completeness, accuracy, and integrity of medical records that flow through our systems daily. You will review, verify, and input clinical data using standard classification systems, helping to maintain the high standards of quality and compliance that our organization is known for.

This position goes beyond traditional data entry. You will be responsible for coordinating the transmission of medical records and collaborating with provider offices, health system partners, and other clinical entities. Your work will directly impact the efficiency of care delivery, the accuracy of patient histories, and the overall quality of our healthcare services. If you take pride in your attention to detail, thrive in a structured yet collaborative environment, and want to be part of something bigger than yourself, we want to hear from you.

Key Responsibilities

  • Accurate Data Entry: Conduct data entry tasks from various sources—including paper records, electronic files, and provider submissions—into our secure database systems with a high degree of accuracy and speed.
  • Quality Assurance: Review and verify all entered information to ensure data integrity, identifying and correcting any discrepancies or errors before final submission.
  • Medical Records Review: Examine medical records for completeness and accuracy, ensuring that all required fields are populated and that documentation meets regulatory and organizational standards.
  • Clinical Data Coding: Apply standard classification systems to code clinical data appropriately, supporting accurate record-keeping and facilitating downstream analytics.
  • Record Transmission Coordination: Manage the secure transmission of medical records to provider offices, health system partners, and other authorized clinical entities, ensuring timely and confidential delivery.
  • Confidentiality and Security: Uphold the highest standards of patient confidentiality and data security, strictly adhering to HIPAA regulations and arenaflex's internal privacy policies.
  • Cross-Functional Collaboration: Work closely with team members, field care staff, and external partners to ensure data consistency, resolve discrepancies, and maintain quality standards across all records.
  • Data Cleanup and Validation: Participate in ongoing data cleanup initiatives and validation activities to continuously improve the quality of our information systems.
  • Process Improvement: Identify opportunities to streamline data entry workflows, reduce errors, and enhance overall efficiency within the medical records department.
  • Reporting and Documentation: Generate reports as needed, document procedures, and contribute to the development of best practices within the team.

Essential Qualifications

  • Educational Background: High school diploma or equivalent required. Additional education, certification, or formal training in data entry, health information management, or a related field is highly preferred.
  • Proven Experience: Demonstrated experience in data entry, medical records coordination, or a similar administrative role, preferably within a healthcare or similarly regulated environment.
  • Typing Proficiency: Excellent typing speed and accuracy, with the ability to maintain high productivity while ensuring precision.
  • Technical Skills: Proficient in using data entry software, electronic health record (EHR) systems, and the full Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
  • Attention to Detail: Strong attention to detail with the ability to identify errors, inconsistencies, and omissions in complex medical documentation.
  • Organizational Skills: Exceptional organizational and time management abilities, with the capacity to prioritize tasks and meet deadlines in a fast-paced remote environment.
  • Independence and Teamwork: Ability to work independently with minimal supervision while also collaborating effectively as part of a distributed remote team.
  • Confidentiality Awareness: Deep respect for patient confidentiality, data security, and the ethical handling of sensitive information.
  • Communication Skills: Strong written and verbal communication skills, with the ability to interact professionally with healthcare providers, partners, and team members.

Preferred Qualifications

  • Previous experience working in a remote or distributed team environment.
  • Familiarity with medical terminology, healthcare workflows, and clinical classification systems such as ICD or CPT codes.
  • Knowledge of HIPAA regulations and other healthcare compliance standards.
  • Experience with electronic health record platforms or healthcare-specific data management systems.
  • Associate's or bachelor's degree in health information management, healthcare administration, or a related discipline.

Skills and Competencies for Success

To excel in this role at arenaflex, you will need a balanced combination of technical proficiency, analytical thinking, and interpersonal skills. The ideal candidate is someone who finds satisfaction in organizing complex information, takes ownership of their work, and consistently strives for excellence. You should be comfortable working with numbers, codes, and detailed documentation, and you should possess the emotional intelligence to handle sensitive patient information with the utmost care and discretion.

Key competencies include:

  • Analytical Thinking: The ability to assess data, identify patterns, and spot anomalies that require correction or further investigation.
  • Adaptability: Comfort with changing priorities, evolving technologies, and the dynamic nature of the healthcare industry.
  • Self-Motivation: The discipline and drive to remain productive and focused in a remote work setting without direct supervision.
