[Remote] Operations Manager
Note: The job is a remote job and is open to candidates in USA. Green Threads LLC is an 8(a)-certified government IT services firm specializing in ICAM, cybersecurity, cloud migration, intelligent automation, and data analytics. They are seeking an Operations Manager to strengthen their back office by providing financial and accounting support, vendor oversight, and HR administrative functions. The role requires strong judgment, financial literacy, and the ability to manage multiple workstreams in a fast-moving GovCon environment.
Responsibilities
- AP/AR: enter vendor bills, process payments, manage client invoicing and collections in QuickBooks Online
- Subcontractor invoice review and processing; track billed hours against contract limits and flag overruns
- Support bi-weekly payroll input delivery to our payroll vendor (BlueStreet), including timesheet compilation and input validation
- Manage state registration portals and tax exemption certificates across multiple jurisdictions
- Serve as Green Threads’ day-to-day interface with BlueStreet (payroll and accounting), Citrin Cooperman (FP&A), and Aprio (taxes) — reviewing outputs, escalating issues, and ensuring deliverables are accurate and actionable before they reach leadership
- Support month/quarter/year-end close: validate that vendor deliverables are complete, reconciliations are clean, and no open items are left unresolved
- Monitor cash position informally: AR aging, AP timing, payroll outflows — escalate concerns proactively
- Review budget vs. actuals from Citrin FP&A reports and translate findings for leadership in plain language
- Support audit readiness (DCAA, workers comp, CPA) by maintaining documentation and coordinating vendor responses to data calls
- Own the employee onboarding and offboarding lifecycle: welcome documentation, I-9/E-Verify, systems setup, benefits enrollment coordination
- Maintain employment records and respond to employment verification and records requests (including SF-86 general release forms)
- Coordinate training and professional development tracking, approvals, and reimbursements
- Support benefits administration (health, 401(k)) in coordination with our benefits service provider
- Manage the full resale cycle with our government resale partners (Broadcom, Carahsoft, FedResults): quotes, purchase orders, invoicing, vendor communications, and tracking log maintenance
- Maintain state-by-state tax exemption certificates for resale compliance
Skills
- Proficiency in QuickBooks Online — comfortable with AP/AR, payroll inputs, and basic GL navigation
- 3+ years in a financial operations, accounting, or business operations role
- Experience managing AP/AR independently
- Strong organizational skills with a track record of managing deadline-driven workstreams without close supervision
- Comfortable working in a small firm environment where you're both the person who sets up the process and the person who executes it
- Experience in a government contracting (GovCon) environment — familiarity with DCAA audit requirements, indirect cost concepts, or FAR/CAS basics is a meaningful differentiator
- Prior experience managing or reviewing outsourced accounting, payroll, or FP&A vendors — you know what to look for and how to push back
- Demonstrated ability to read financial reports, identify anomalies, and communicate findings to non-finance leadership
