Role Overview

The Customer Chat & Call Support Specialist is the frontline ambassador for arenaflex’s clientele. You will manage inbound and outbound communications across phone, email, and live‑chat channels, ensuring that every interaction is handled with professionalism, empathy, and speed. This role sits at the intersection of sales, technical support, and logistics, requiring a blend of strong communication skills, meticulous organization, and a passion for delivering an elevated customer experience.

Key Responsibilities

  • Process customer orders using arenaflex’s proprietary order‑entry platform, guaranteeing accuracy and timely fulfillment.
  • Collaborate with sales representatives, sales management, and interior design consultants to clarify product specifications, pricing, and delivery timelines.
  • Respond to inbound calls, emails, and live‑chat messages, providing detailed product information, troubleshooting guidance, and swift resolution of issues.
  • Maintain meticulous records of all customer interactions, ensuring that each case is documented, escalated when necessary, and closed with a focus on satisfaction.
  • Coordinate with technical support and collection teams to expedite order processing, resolve billing discrepancies, and manage inventory restocking.
  • Generate and review purchase orders, monitor inventory levels, and assist in the replenishment of high‑demand items.
  • Conduct follow‑up outreach to gather feedback, assess post‑purchase satisfaction, and identify opportunities for upselling or cross‑selling.
  • Answer pricing inquiries, explain contract terms, and communicate any changes to customers in a clear, concise manner.
  • Support contract maintenance activities, including notifying clients of upcoming renewals, price adjustments, or service enhancements.
  • Participate in continuous improvement initiatives, suggesting workflow enhancements, knowledge‑base updates, and training opportunities.
  • Perform other duties as assigned, contributing to the overall success of the Customer Experience department.

Essential Qualifications

  • Proven experience in a high‑volume call‑center or customer support environment, preferably within luxury retail or home‑furnishings.
  • Exceptional telephone etiquette with the ability to manage multiple calls per day while maintaining a positive, solution‑focused attitude.
  • Strong command of Microsoft Office Suite (Word, Excel, Outlook) and comfort navigating web‑based CRM or order‑management systems.
  • Excellent written communication skills, including flawless spelling, grammar, and punctuation.
  • Demonstrated ability to follow up diligently, track open items, and close loops with both internal teams and external customers.
