About arenaflex

arenaflex is a mission‑driven organization dedicated to leveling the playing field for low‑income students as they navigate the complex journey toward college admission and success. Our national office coordinates a network of donors, educators, and community partners to create a seamless pipeline of financial support, mentorship, and resources. By leveraging technology and a collaborative culture, arenaflex transforms data into actionable insights that empower donors, amplify impact, and ultimately change lives. If you are passionate about education equity, love working with data, and thrive in a remote, purpose‑filled environment, you have found your next career home.

Role Overview

We are seeking a meticulous, self‑motivated Data Entry Associate to join our remote team on a part‑time basis. In this role, you will be the guardian of our donor database, ensuring every gift is recorded accurately, donor intent is respected, and the information is readily available for fundraising analysis and reporting. Your work will directly support the Development team’s ability to cultivate relationships, generate timely reports, and drive strategic fundraising initiatives that fuel arenaflex’s mission.

Key Responsibilities

  • Donor Gift Processing: Accurately enter donation details—including amount, donor intent, restrictions, and acknowledgment dates—into the arenaflex donor management system within established timelines.
  • Data Integrity & Quality Assurance: Perform routine audits, reconcile discrepancies, and correct errors to maintain a pristine, searchable database.
  • Fundraising Support: Collaborate with the Development team to extract custom lists, generate donor segmentation reports, and produce ad‑hoc data extracts for campaign planning.
  • Documentation & Record Keeping: Ensure all donor communications, receipts, and related documents are properly filed and linked to the appropriate donor record.
  • Cross‑Functional Assistance: Provide timely support to other departments (e.g., Marketing, Finance, Alumni Relations) when data‑related requests arise.
  • Continuous Improvement: Suggest workflow enhancements, automation opportunities, and best practices to streamline data entry processes.
  • Compliance & Confidentiality: Adhere to data privacy regulations, donor confidentiality policies, and internal security protocols at all times.

Essential Qualifications

  • High School diploma or equivalent; an Associate’s or Bachelor’s degree in Business, Communications, or a related field is a plus.
  • Minimum of one (1) year of professional data entry experience, preferably within a nonprofit, fundraising, or donor‑management environment.
  • Proficiency with Microsoft Office Suite—especially Excel (pivot tables, VLOOKUP, data validation) and Word.
  • Demonstrated ability to type at least 60 words per minute with a high degree of accuracy.
  • Strong written and verbal communication skills; ability to convey information clearly and courteously.
  • Excellent organizational skills, with a proven track record of managing multiple tasks and meeting deadlines.
  • Passion for arenaflex’s mission and a genuine commitment to supporting low‑income students.

Preferred Qualifications & Experience

  • Experience with donor database software (e.g., Raiser’s Edge, Blackbaud, DonorPerfect, or similar platforms).
  • Familiarity with multi‑site development initiatives and fundraising campaign cycles.
  • Background in higher‑education fundraising, grant administration, or nonprofit operations.
  • Exposure to data visualization tools (e.g., Tableau, Power BI) for creating donor reports.
  • Previous remote work experience, demonstrating self‑discipline and effective virtual collaboration.

Core Skills & Competencies

  • Attention to Detail: Ability to spot inconsistencies, verify data against source documents, and maintain flawless records.
  • Analytical Mindset: Comfort working with numbers, spotting trends, and translating raw data into meaningful insights for the Development team.
  • Tech Savvy: Quick learner of new software, comfortable navigating cloud‑based platforms, and adept at troubleshooting minor technical issues.
  • Team Collaboration: Strong interpersonal skills, willingness to assist colleagues, and capacity to communicate effectively across departments.
  • Adaptability: Thrive in a fast‑paced environment, embrace changing priorities, and maintain composure under pressure.
  • Ethical Integrity: Respect donor confidentiality, adhere to data protection standards, and act with honesty in all interactions.
