Legal Executive Assistant
Job Description:
- Maintain and update the firm’s case filing system and database of active matters, ensuring all court filings and related documents are accurately stored and named following firm conventions.
- Process and organize new filings and court notifications received through ECF/PACER or email, ensuring proper indexing and accessibility.
- Conduct legal research and compile case materials from PACER, court websites, and public databases.
- Prepare, format, and organize documents, applying established naming and folder protocols for ease of reference.
- Coordinate case research assignments, compiling complete folders of filings for attorney review.
- Draft and manage correspondence with clients, courts, and service providers.
- Maintain and refine internal process documentation, including recurring checklists for research, filing, and case management procedures.
- Support asynchronous communication workflows, including updates through email and Loom videos to minimize unnecessary meetings.
- Manage light personal and administrative tasks, such as scheduling, coordinating mail deliveries, or vendor communications.
Requirements:
- Proven experience as a legal assistant, paralegal, or executive assistant supporting litigation or law firm operations.
- Familiarity with ECF/PACER systems and general court filing procedures.
- Strong organizational and file management skills with meticulous attention to detail.
- Excellent written and verbal communication skills in English.
- Proficiency in Microsoft Office, Google Workspace, and cloud-based file management systems.
- Experience with asynchronous communication tools (e.g., Loom) and a comfort level working independently in a remote setup.
- Ability to prioritize effectively, meet deadlines, and maintain confidentiality at all times.
- Bachelor’s degree or equivalent professional experience preferred.
- Previous experience in appellate, civil litigation, or legal research environments is highly desirable.
- Self-starter with strong time management skills and the ability to work with minimal supervision.
- Calm, detail-oriented personality — able to maintain accuracy in repetitive or structured workflows.
- High level of professionalism, discretion, and trustworthiness.
