We are currently seeking a Remote Healthcare Data Entry Specialist to join our growing team and support our clients in the processing of independent medical reviews, health records, and critical clinical documentation. Key Responsibilities: What You'll Do Each Day

As a Remote Healthcare Data Entry Specialist at arenaflex, you will be a critical link in the chain of accurate, timely healthcare data management. Your daily responsibilities include, but are not limited to:

  • Process Medical Documentation: Review and process a variety of medical documents, including independent medical evaluations (IMEs), clinical notes, and healthcare records, ensuring all relevant information is captured accurately and comprehensively.
  • Data Extraction & Entry: Extract critical data from medical records, case files, and patient documentation, then enter it precisely into designated electronic databases using Microsoft Excel and Microsoft Word platforms.
  • Client Communication & Coordination: Proactively reach out to clients, providers, or stakeholders via telephone to clarify ambiguities, request missing information, and resolve outstanding case items — all while maintaining a professional, empathetic, and solution-oriented demeanor.
  • Critical Thinking & Problem Solving: Apply sound judgment and analytical thinking to determine the appropriate next steps for each case, escalate items requiring expert review, and ensure documentation pathways are followed correctly.
  • Collaborative Teamwork: Work both independently on your assigned caseload and in partnership with a distributed team of coordinators and supervisors to address questions, document resolutions, and ensure cases are returned within established service level agreements (SLAs).

What We're Looking For: Qualifications & Requirements

Essential Requirements

  • High School Diploma or GED — a foundational requirement for all candidates applying to this role.
  • Minimum of 1 year of professional remote work experience — we need someone who has demonstrated the self-discipline, time management, and communication skills to succeed in a fully virtual work environment.
  • Proficiency in Microsoft Excel and Microsoft Word — you should be comfortable navigating spreadsheets, using formulas (such as VLOOKUP, SUMIF, or equivalent), formatting documents, and managing data efficiently.
  • Reliable High-Speed Internet Connection — a stable, high-speed internet connection is non-negotiable, as you will be accessing cloud-based systems, uploading documents, and participating in virtual meetings throughout your workday.
  • Personal Computer or Laptop — you must own and maintain a fully functional personal computer or laptop. Please note that Chromebooks are not supported for this role due to software compatibility requirements.
  • Professional Customer Service Experience — prior experience handling client-facing communications, whether by phone, email, or chat, is strongly preferred. You should be able to navigate difficult conversations with grace and professionalism.

Preferred Qualifications

  • Prior experience in the healthcare, insurance, or claims management industry — familiarity with medical terminology, ICD codes, health insurance concepts, or claims processing workflows will help you ramp up faster.
  • Experience with Electronic Health Record (EHR) systems or other healthcare data platforms.
  • Background in independent medical review (IMR) or utilization review processes.
  • Associate's or Bachelor's degree in a related field (Healthcare Administration, Business, Information Technology, or similar).
  • Data certification (such as a Microsoft Office Specialist certification or equivalent) to demonstrate advanced spreadsheet skills.
