Organ Services Administrator – Donor Management

LifeSource is hiring a Organ Services Administrator – Donor Management to support and guide clinical teams in the process of evaluation and medical management of organ donors. This position serves as a resource for clinical decision-making, workflow optimization, and problem resolution, while monitoring outcomes, and quality metrics. This role plays a key part in aligning team efforts with organizational goals, mission, and regulatory requirements. In collaboration with the medical director, they provide real-time guidance of our clinical teams. Anticipate and recognize administrative and logistical challenges in the donation process and proactively provide resources for all donation and transplantation processes. As an Organ Services Administrator - Donor Management, you’ll advance our life-saving work by performing the following job duties: Provide thorough, in-depth guidance to Organ Services team members utilizing clinical expertise and advanced knowledge of the organ donation process.

  • Actively engage with all members of the Organ Services team and establish understanding of all medical aspects of active organ cases and referrals.
  • In collaboration with the medical director, assist in and/or establish the execution of the donor work up and evaluation plan.
  • Provide clinical expertise, guidance and support for donor evaluation and Donor Management directed towards maximizing organ recovery and transplantation opportunities.
  • Includes Electronic Medical Record (EMR) review, evaluation of complex labs or testing needed, implementation of orders, interpretation of diagnostic tests, and evaluation of which organ donation opportunities exist.
  • Represent LifeSource in a professional manner with both internal and external customers, ensuring professional appearance and communication. Clinical education and collaboration with hospitals and key partners to maximize organ recovery and transplantation.
  • Review internal EMR and source documentation to ensure compliance with regulatory standards.
  • Leads in alignment with an equitable and diverse work environment.

Provides direction and coaching to staff engaged in the donor evaluation, management, allocation, and recovery processes.

  • Coaches frontline team members by providing evidence-based critical thinking and decision-making support while considering appropriate resource management decisions
  • Provides regulatory oversight and verification for critical aspects of the donation process.
  • With support from individual leaders, provide support through timely, effective, and respectful coaching regarding areas of opportunity and recognition.

Lead collaboration and training initiatives as well as retrospective review and coaching to support advancements in knowledge and practice

  • Actively participate in clinical practice workgroup collaborations and partnerships with transplant customers to provide direction in clinical practice enhancement and program development.
  • Design, engage, and facilitate clinical education presentations for knowledge sharing with team members.
  • In partnership with Training and Education Program Administrators, develop and provide education sessions for new employees.
  • Keeps current in advancements in the donation field and leads project work to drive overall improvement in the donation process.

QUALIFICATIONS

  • Requires a combination of education and experience equivalent to nine years of critical care responsibilities.
  • Advanced degree (NP, PA, MD, etc.) preferred.
  • Requires 5 years working in Organ Donation or Transplantation with a minimum of 1 year as an Organ Services Administrator or similar role, or Advanced Clinical Degree (NP, PA, MD, etc.) in lieu of organ donation experience.
  • Requires Certified Procurement Transplant Coordinator (CPTC) designation or ability to become certified within 1 year of hire. Once certified, you must obtain the required continuing education or recertification credits/process.
  • Demonstrated ability to drive results to improve processes and outcomes with the use of critical thinking, analytical skills, and problem-solving capabilities.
  • Demonstrated leadership and participation in cross-departmental workgroups or strategic initiatives

WORKING CONDITIONS / SCHEDULE:

  • This is a .9 FTE role. Variable shift schedule includes a mix of 0700-1930 and 1000-2230.
  • Must be able to participate in a variable 12-hour schedule which includes days, nights, weekends, and holidays (1 summer and 1 winter holiday per year, rotating). Occasional night shifts may be utilized in addition primary rotation, as needed for case activity coverage
  • Schedule includes minimum of 1 weekend per month. Preferred scheduling method.
  • Ability to adjust schedule as needed to engage in relationship development and prepare for or execute events.
  • Hybrid (initial training/orientation on-site in Minneapolis, occasional meetings and project work on-site)
  • For candidates with prior OPO experience only: remote work option is available for residents of MI, MN, ND, OH, SD, TX, WI (after initial training period)
