About the Client The client operates two interconnected U.S.-based businesses. The first is a landlord–tenant law firm managing a high volume of time-sensitive legal cases, including rent demands and court-related workflows. The second is a property management business currently being rebuilt and positioned for scale in 2026, with a strong emphasis on lead generation, outreach, and brand visibility. The client is seeking reliable, long-term support to reduce operational overload, improve organization, and support future growth across both businesses. ‍ About the Role: The client is hiring a full-time Executive Assistant to support both businesses in a hybrid capacity. This role is split approximately 50% marketing and business development support for the property management business and 50% administrative support for the law firm. The assistant will not be responsible for legal decision-making or complex legal tasks. The legal support portion of the role is focused on organization, email management, summaries, and basic system updates. Training will be provided. This role requires strong communication skills, attention to detail, and the ability to switch between structured administrative work and proactive outreach or marketing-related tasks. KEY RESPONSIBILITIES ⚖ Legal Administrative and Intake Support

  • Monitor and organize a high-volume legal inbox, acting as the first line of defense for new legal cases
  • Identify and flag urgent legal communications and high-priority case requests
  • Summarize complex incoming emails into clear, concise briefs for the Office Manager
  • Log basic case data accurately into internal systems and track timelines
  • Prepare daily and weekly summaries of new case intake and client requests

Property Management Marketing and Outreach

  • Conduct proactive follow-ups with prospective property management clients (landlords) via email or phone
  • Use provided scripts to introduce services, explain pricing, and guide prospects to next steps
  • Manage outreach activity using assigned lead lists and organize contact data
  • Support simple social media activity and assist with broader client acquisition efforts under leadership direction

General Operations

  • Provide ad-hoc administrative support to both the legal and property management teams
  • Ensure smooth operational continuity across both businesses

Technical and Hard Skills

  • Proven experience in administrative support, ideally in a legal or real estate environment
  • Comfortable learning and navigating internal case management systems and CRM tools
  • Strong proficiency with Google Workspace (Gmail, Docs, Sheets)
  • Reliable home office setup with stable internet and power redundancy

  • 100% of new legal case requests flagged and logged within required timelines
  • Consistent and timely follow-up on all property management leads
  • Clear daily and weekly reporting on intake volume and outreach performance
  • High-volume inboxes managed efficiently without delays or backlogs
