Job Description

Hootsuite, a global leader in social media management, is on the lookout for a highly organized and proactive Project Scheduling Coordinator to join our innovative and fast-paced team. This is a fully remote position, offering the flexibility to contribute from your home office while collaborating with colleagues across different time zones. As a Project Scheduling Coordinator, you will be instrumental in the successful execution of a diverse portfolio of projects, ranging from new product development and feature enhancements to marketing campaigns and internal operational improvements. Your primary responsibility will be to develop, maintain, and monitor comprehensive project schedules, ensuring all milestones, dependencies, and critical paths are clearly defined and communicated. You will work hand-in-hand with our talented project managers, product owners, engineering leads, and marketing specialists, acting as a central point of contact for schedule-related inquiries. A key aspect of this role involves proactively identifying potential scheduling conflicts, resource bottlenecks, and risks, and proposing solutions to keep projects on track. You will utilize various project management tools to track progress, update schedules, and generate reports, providing critical insights to project stakeholders. Effective communication is paramount; you will be responsible for facilitating scheduling meetings, documenting decisions, and ensuring that all team members are aware of their commitments and deadlines. Key Responsibilities

  • Develop, maintain, and monitor detailed project schedules using appropriate scheduling software.
  • Collaborate with Project Managers and team leads to define project scope, objectives, and deliverables.
  • Identify and track critical path activities, dependencies, and potential risks, proposing mitigation strategies.
  • Facilitate regular scheduling meetings, document discussions, and communicate schedule updates to all stakeholders.
  • Monitor project progress against the baseline schedule, identify deviations, and assist in re-planning when necessary.
  • Prepare and distribute comprehensive project status reports, highlighting schedule performance and upcoming milestones.
  • Manage resource allocation and availability conflicts in coordination with various departmental leads.
  • Ensure all project documentation related to scheduling is accurately maintained and easily accessible.

Required Skills

  • 3+ years of experience in project coordination or scheduling in a fast-paced environment.
  • Proficiency with project management and scheduling software (e.g., Jira, Asana, Microsoft Project, Smartsheet).
  • Strong understanding of project management methodologies (e.g., Agile, Waterfall).
  • Excellent organizational and time management skills with a meticulous attention to detail.
  • Demonstrated ability to communicate effectively, both written and verbal, with diverse teams.
  • Strong analytical and problem-solving capabilities.
  • Ability to work independently in a remote setting while maintaining high levels of collaboration.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Project Management, or a related field.
  • Project Management Professional (PMP) or CAPM certification.
  • Experience in the software development or technology industry.
  • Familiarity with social media marketing and related technologies.
  • Experience working with distributed or global teams in a remote capacity.
