Administrative Assistant / BDC Representative

Dick Hannah Dealerships is a family-run business focused on innovation and employee care. They are seeking a motivated Administrative Assistant / BDC Representative to support the sales and finance teams with car deal paperwork, customer communication, and ensure smooth transaction processing.

Responsibilities

  • Review and organize car deal paperwork for accuracy and completion
  • Package finalized deals for lender submission and internal processing
  • Ensure all required documents are properly signed, scanned, and filed
  • Maintain compliance with dealership and manufacturer guidelines
  • Communicate with sales and finance staff regarding incomplete or incorrect documents
  • Enter and update deal data in the DMS/CRM systems
  • Maintain organized digital and physical files of all deal documents
  • Make outbound calls, emails and texts to follow up with internet leads, unsold showroom traffic, and service customers
  • Schedule new appointments and follow-up on missed appointments
  • Use our CRM tool (e.g., VinSolutions) to track communication and follow-ups
  • Provide accurate product, pricing, and appointment information to customers
  • Support sales campaigns, offers, customer lists, and service-related tasks to drive customer engagement
  • Foster strong communication and collaboration with the sales team to ensure seamless hand off of leads and effective teamwork
