Job Overview

We are seeking a highly skilled and organized Virtual Receptionist and Data Entry Clerk to join our administrative team. As a key member of our support staff, you will be responsible for providing exceptional administrative assistance, ensuring seamless day-to-day operations, and delivering outstanding customer service. This is a full-time, remote position that offers the opportunity to work with a talented team of professionals who are passionate about their work.

Key Responsibilities

  • Maintain full knowledge of the IT department structure, including the leaders who oversee each team.
  • Sort, scan, and distribute mail and internal correspondences throughout the arenaflex campus and satellite locations.
  • Manage postage, mail accounts, and incoming and outgoing mail.
  • Ensure office supplies and common areas are stocked, clean, and organized.
  • Set up IT meetings and remove setup once the meeting convenes.
  • Create and replace ID badges for IT employees.
  • Support coverage of the reception desk, including answering phones, directing visitors, issuing and deactivating employee and visitor badges.
  • Perform all assigned tasks accurately, efficiently, and in accordance with applicable policies and procedures.
  • Comply with arenaflex privacy and security requirements and policies if job responsibilities include possible access to confidential and/or sensitive information.
  • Other duties as assigned.

Essential Qualifications

  • High School Diploma or GED required, or a combination of education and experience providing equivalent knowledge.
  • Excellent verbal and written communication skills.
  • Ability to prioritize and work under strict deadlines.
  • Ability to work both independently and within a team environment.
  • Ability to stay organized and multi-task efficiently.
  • Ability to interpret and apply company policies and procedures.
  • Proficient in Microsoft Office Suite.
  • Proficiency in typing and data entry.

Preferred Qualifications

  • Previous experience in an administrative support role, preferably in a virtual or remote setting.
  • Familiarity with IT department structures and operations.
  • Experience with mail management, office supplies, and reception desk coverage.
  • Knowledge of privacy and security requirements and policies.
  • Strong problem-solving and analytical skills.
